1. Information We Collect

1.1 Account Information

When you register, we collect: email address, name (optional), and a hashed password. We do not store plain-text passwords.

1.2 Usage Data

We automatically collect: number of conversions performed, file types converted (not contents), timestamps, and account plan information. This helps us improve the service and enforce plan limits.

1.3 File Data

Files you upload are processed and then permanently deleted within 30 minutes. We do not read, analyze, copy, or retain the contents of your files beyond the time needed to complete the conversion.

1.4 Technical Data

We collect IP addresses (for geo-based currency display and security), browser type, operating system, and session identifiers. IP addresses are stored for a maximum of 90 days.

1.5 Communication Data

If you contact us via email or our contact form, we retain that correspondence to respond to your inquiry.

2. How We Use Your Information

3. Data Sharing and Third Parties

We may share data with trusted service providers who help us operate DocConvert:

• Cloud hosting — Your data is stored on secure servers (encrypted at rest)
• AI providers — When you use AI features, document text is sent to Google Gemini or Groq API for processing. This data is subject to their respective privacy policies and is not used to train their models
• Email delivery — For transactional emails (verification, notifications)
• Google AdSense — If ads are enabled, Google may use cookies to serve relevant ads. See Google's Privacy Policy for details

We may also disclose data when required by law, court order, or to protect the rights and safety of HR-Tech or others.

4. Cookies and Tracking

We use essential cookies for:

• Session management (keeping you logged in)
• CSRF protection (security)
• User preferences (dark mode, currency)

If Google AdSense is enabled, advertising cookies may be set by Google. You can opt out via aboutads.info.

We do not use tracking pixels, behavioral analytics, or share data with data brokers.

• All data transmitted is encrypted via 256-bit TLS/SSL
• Passwords are hashed using industry-standard algorithms (never stored in plain text)
• Files are stored in isolated, access-controlled environments
• API keys are encrypted at rest in our database
• We conduct regular security audits and vulnerability assessments
• Access to production systems is restricted to authorized personnel only

6. Your Rights

7. Data Retention

• Uploaded files: Deleted automatically within 30 minutes of conversion
• Account data: Retained until you delete your account; deleted within 30 days of account deletion request
• IP addresses: Retained for 90 days for security purposes
• Conversion history (metadata only): Retained for 12 months (no file contents)
• Newsletter subscriptions: Retained until you unsubscribe

8. Children's Privacy

DocConvert is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.

9. Updates to This Policy

We may update this Privacy Policy periodically. We will notify registered users of material changes via email. The "Last updated" date at the top of this page indicates when the policy was last revised.
